Substitute Teaching Information

  • Anyone wishing to be a substitute teacher in the Ross Valley School District must first be registered and cleared through the Marin County Office of Education (MCOE). Please Click Here to view a 10-minute informational video on how to become an active substitute teacher for all schools in Marin County.     Once you are registered in our system (be sure to select Ross Valley School District as one of your preferred districts), you will receive a welcome email directly from Frontline Absence Management (our automated system) instructing you how to get started and use the system.

    MCOE offers substitute meetings that provide new substitutes the opportunity to review the packet with the Credential Analyst and ask questions regarding substituting in Marin County. The meetings are available via Zoom or in-person. 

    DAILY SCHEDULE

    Please arrive at the school office no later than a half hour (30 minutes) before the start of the school day unless otherwise instructed. The bell schedule is listed on the rossvalleyschools.org website. Click on “our schools” in the upper right hand corner, then click on the school site needed, then click on “bell schedule” on the upper ribbon across the top.

    The school staff will provide the schedule for the day, including yard duty, breaks, special activities, and the ending time of the assignment. In the event the assignment includes travel to more than one site, the school staff will provide that schedule, as well. If the teacher’s sub plans indicate a different schedule, please double check with the office. At the end of the day’s assignment, please check out at the school office.

    If you arrive late or leave early without confirmation from the school office that the assignment has ended, the rate of pay may be prorated, and future assignments may be affected. 

    CANCELLATION POLICY

    If you are scheduled and then it is determined the work is not needed, the assignment will be canceled via Frontline. As a result of being an at-will employee, the District is unable to provide payment when no services are provided as doing so constitutes a gift of public funds and is against the law.

    If the cancellation in Frontline occurs later than 6:00am and you report to the assigned campus and there is no work at any other site, the school staff may offer you an alternate assignment for the day. If you decline the alternate assignment or there is no alternate assignment, the site will release you and you will be paid for ½ day. If you were scheduled for multiple days and you decline alternate assignments, you will receive the ½ day pay for the first day only and no pay for the subsequent days.

    SCHOOL CLOSURE PROTOCOL

    If schools are closed (e.g. due to weather related, PG&E Public Safety Power Outages “PSPS”), we will attempt to notify all scheduled subs via email communication and/or via Frontline. The above cancellation policy will be in place.

    AFFORDABLE CARE ACT – MEDICAL COVERAGE

    Please refer to the separate salmon-colored documents you received in the sub packet for information about medical coverage available through the RVSD. Note that annually you will be required to accept or deny coverage through the District.

    PAID SICK LEAVE

    In accordance with SB 616 (effective 1/1/24), which amends AB-1522: Mandatory Paid Sick Leave law, you are entitled to use 40 hours of paid sick leave in each 12-month period, and you are entitled to begin using the available paid sick leave upon working 90 days from the first date of employment. 

    RVSD frontloads 40 hours of sick leave at the beginning of each school year. Any unused sick leave does not carry over from year to year. Upon termination, separation, resignation, or other separation from employment, compensation is not provided for accrued, unused paid sick leave.

    Please note that once you are eligible to begin using available sick leave, you must first accept a substitute assignment and then cancel the scheduled date/s due to being sick.     For what purposes can I take paid sick leave?

    You can take paid sick leave for yourself or a family member, for preventive care or diagnosis, care or treatment of an existing health condition, or for specified purposes if you are a victim of domestic violence, sexual assault or stalking.

    • Family members include the employee’s parent, child, spouse, registered domestic partner, grandparent, grandchild, and sibling.
    • Preventive care would include annual physicals or flu shots.

    You may decide how much paid sick leave you want to use (for example, whether you want to take an entire day, or only part of a day). Your employer can require you to take a minimum of at least two hours of paid sick leave at a time, but otherwise the determination of how much time is needed is left to the employee.

    Do I have to notify my employer before taking sick leave?

    The employee must notify the employer in advance if the sick leave is planned, as may be the case with scheduled doctors’ visits. If the need is unforeseeable, the employee need only give notice as soon as practical, as may occur in the case of unanticipated illness or a medical emergency.

    PAY RATE 

    In a Certificated Position

    On-Call, Guest Support, or Short-Term Assignment

    • $215/day; $107.50/half day

    Contracted Long-Term Assignment (more than 10 days)

    • Consecutive Days 1-10 = $215.00/day; $107.50/half day
    • Days 11-20 = $230.00/day; $122.50/half day
    • Day 21 through remainder the remainder of the assignment = Step 1, Class 1 on the certificated salary schedule; prorated for less than full-day assignment

    In a Classified Assignment

    • $215.00/day; $107.00 half day (e.g. Library, Noontime, Sp Ed Full-Inclusion Aide, Administrative Assistant). Note that classified positions are in a different retirement system. As such, if a certificated sub is a member of CalSTRS, they will not receive retirement service credit)

    REASONABLE ASSURANCE

    You have Reasonable Assurance of work in RVSD as one of our Substitute Teachers for a comparable or larger number of days as in past years. RVSD has Fall, Winter, Mid-Winter, and Spring recesses. You can be assured that you will be called and offered substitute teaching assignments when needed if you choose to remain on our substitute list. That being said, you may, nevertheless, file a claim for unemployment insurance benefits. Your entitlement to benefits will be determined by the Employment Development Department and not by the District. If you are not offered an opportunity to perform services in the next academic year or term, you may be entitled to retroactive unemployment benefits if you are otherwise eligible and you file a claim for each week benefits are claimed, and if you file a claim for the benefits within 30 days after the start of the next academic year/term.
